Gift Card Management​

The Lightspeed POS Restaurant K-Series allows for the sale of gift cards both at the point of sale (POS) and in the administrative backend (backoffice). These gift cards do not correspond to specific services, but rather represent a certain dollar value that the customer can redeem.

When these gift cards are sold, they are not immediately recognized as revenue because they are not considered a taxable service, they are viewed as a payment method. Essentially, the sale of a gift card is a trade of money for a gift card. VAT is applicable only when a gift card is actually used (redeemed), not when it is sold.

Financially, it is important to record the sale of a gift card in the income statement at the time of its issuance. This accounting practice helps track the total value of all issued (and unredeemed) gift cards. Once a gift card is redeemed, VAT is charged, and the financial records are adjusted to reflect this.

In summary, the sale of a gift card involves an exchange of cash for a non-taxed payment method, with VAT obligations arising only upon the gift card's redemption.

Cross-Business-Location Transfers​

In businesses with multiple business locations, such as hotels, cross-business-location transfers are common. For instance, a guest might order a drink at the hotel bar (the source location) and transfer the charge to another location, like the hotel restaurant (the target location). For accurate accounting, it's important to record the revenue at the source location, where the drink was prepared and the inventory is reduced. The actual consumption occurs at the target location. To prevent double-counting of revenue, the target location records two transactions: one with negative values for the transfer, and another with positive values for the payment. This ensures revenue and stock are accurately tracked at each location.

  • On the next business day the account will have a new “accountReference”
  • On the next business day, the account array won’t include any items
  • Parameter “type” will be “SALE” on the business day when the order was placed
  • Parameter “type” will be “TRANSITORY” on the future business day
  • Parameter “initialAccountId” refers to the original account which was created on the previous business day -> “accountFiscId”
  • Parameter “type” will be “SALE” on the business day when the revenue should be booked.

On a Previous Business Day​

Modifications to transactions from previous business days are subject to the fiscal regulations of the respective country. In some cases, these regulations may prohibit such changes. It's important to note that any adjustments made to transactions from past business days do not automatically synchronize with accounting software. Instead, these changes must be manually updated in the accounting system.
